Administration Mainly supports Assistant Human Resources Manager/ Human Resources Manager in C&B function related to employment contract, salary updates, all allowances, all insurances according to the local law, internal payroll. Ensures efficient office administration procedures. Be responsible for preparation of Probation contract, Labour contract, Salary increment decision, change of status decision and other decision assigned by Assistant Human Resources Manager/ Human Resources Manager Enters, updates Personnel records into the Cadena System, People Soft System. Implements all transitions in Cadena system in time. Ensures the timely and confidential management of associate data. Ensures that an organised, up-to-date filing system is maintained for all personnel records. Maintains manual and electronic personnel files, ensuring that required record keeping is accurate and confidential. Ensures all employment contract are in keeping with local legislation. Works closely with Human Resources – Recruitment team to save, keep the Associate Requisition Form, Change of Status form for filing and salary processing. Prepares travel request, cash advance, payment request properly. Coordinates with other departments to welcome and prepare work station, stationary for new colleagues. Other duties will be assigned by Division Head.Customer Service Provides the appropriate level of professional, courteous and caring service to other associates (internal customers) and other visitors to the division. Ensures all associates provide a courteous and professional service at all times. Handles guest and associate enquiries courteously and efficiently, reporting complaints or problems if no immediate solution can be found, whilst feeding back a prompt follow-up. Maintains positive guest and colleague interactions.Financial Ensures new technology & equipment are embraced to improve productivity. Ensures Attendance Record check is being carried out according to the Policy and Procedures.Marketing Supports the Human Resources Division with the implementation and upkeep of the following associate communications – Associate Handbook, Monthly HR Activity Schedule, Associate Notice Boards. Effectively communicates core values and behavioural standards to all levels of staff.Operational Supports the management of the local associate insurance programmes. Co-ordinates and arranges out going for Interview.Personnel Ensures close and professional relationships are established and maintained between management, associates, government officials and the local community. Ensures that associates have a complete understanding of the hotel Work Rules and Regulations, and that their behaviour complies.Other Duties Maintains high personal standards of timekeeping, always present for duty as scheduled. Ensures high standards of personal presentation and grooming, acting as a positive role model. Attends and participates in Briefings/Meetings as required. Is always willing to learn and willing to teach others. Ensures that colleagues/ associates are always fairly treated without favour or unfair expectations. Takes an active involvement in the welfare, safety, development and well-being of associates. Provides guidance, advice, counselling and transparent diplomatic feedback as appropriate. Provides sufficient training, development and learning opportunities to ensure that associates and trainee are developed to their full potential, and are confident. Ensures that associates are fairly and professionally rostered and are allocated work assignments which are appropriate for their rank and capability to meet the demands expected. Ensures that all guest and associates interactions are positive and professional, showing humility and respect to guests, and all associates. Values and preserves very good working relationships. Ensures that Corporate Strategies, initiatives, communications and Associate Information pieces are appropriately communicated to associates in a timely manner. Exercises responsible practices and personal behaviour at all times, positively representing the hotel Team and Hyatt International. Responds to requests to undertake any reasonable tasks and secondary duties and adjust to changes as dictated by hotel, industry and company.QualificationsThis position is open to Vietnamese nationals only.Requirements:Bachelor's degree in Human Resources Management, Hospitality Management, Law, or English LanguageMinimum 1 years of experience in a similar role at a luxury resort or urban hotelSolid understanding of local labor lawsPre-opening experience is a strong advantageExcellent communication skills in English, both written and verbal
