The Personal Assistant (PA) to the Group Deputy CEO provides high-level, confidential administrative and coordination support to enable effective leadership, decision-making, and time management at the most senior level of the organization.This role requires strong autonomy, sound judgment, exceptional organizational skills, and the ability to manage complex, sensitive matters with professionalism and discretion in a fast-paced, dynamic environment.Job Description:Key ResponsibilitiesExecutive & Administrative SupportProvide comprehensive, end-to-end administrative support to the Group Deputy CEO, operating independently with minimal supervisionManage complex calendars, diaries, and schedules, ensuring priorities are aligned and potential conflicts are proactively identified and resolvedPrepare, review, and coordinate high-quality correspondence, reports, presentations, briefing materials, agendas, and meeting minutes using business software applicationsStakeholder & Meeting CoordinationCoordinate senior leadership meetings, board-level sessions, and executive conferences, including logistics, materials preparation, minute-taking, and follow-up actionsAct as a key point of contact between the Group Deputy CEO and internal/external stakeholders, ensuring timely, clear, and professional communicationScreen and prioritize incoming calls, emails, visitors, and correspondence, exercising sound judgment on escalation and responseEvent & Project CoordinationPlan, coordinate, and support company events such as leadership offsites, internal townhalls, executive meetings, and key internal engagementsSupport ad-hoc projects and executive initiatives, ensuring timely execution and alignment with leadership expectationsTravel & Logistics ManagementArrange and manage global and domestic travel, including itineraries, visas, accommodation, ground transport, and expense coordinationAnticipate travel-related needs and proactively address changes or disruptionsConfidentiality & Records ManagementHandle highly sensitive and confidential information with absolute discretion, integrity, and professionalismMaintain accurate records, files, documentation, and executive correspondence in line with company standards and governance requirementsKey Capabilities & AttributesAbility to work autonomously and confidently in a fast-paced, senior executive environmentStrong organizational and coordination skills, with exceptional attention to detailGood command of English (both written and verbal), with the ability to communicate effectively with senior leaders and international stakeholdersExcellent communication and interpersonal skillsHigh level of professionalism, judgment, discretion, and confidentialityProactive, solution-oriented mindset with strong prioritization and time-management skillsCalm, composed, and resilient under pressure, with the ability to handle competing prioritiesExperience & QualificationsMinimum 4 years of experience in a Personal Assistant, Executive Assistant, or similar roleProven experience supporting C-suite or equivalent senior executivesExperience in multinational, matrixed, or fast-paced corporate environments is strongly preferredHigh proficiency in Microsoft Office and business productivity tools (PowerPoint, Excel, Word, Outlook, collaboration platforms)Bachelor’s degree or equivalent professional experience preferredLocation: Ho Chi Minh CityBrand: DentsuTime Type: Full timeContract Type: Fixed Term Contract (Fixed Term)
