Drive the strategic plan of the Sales Department within the hotel to ensure targets are met or exceeded. Ensure the Sales team is aligned with this strategy. Manage all meetings, events and incentives from file handover to completion ensuring maximum profitability and client satisfaction.THE ROLE
  • Liaise with Sales Managers at point of initial negotiations with client to assist Sales Department in providing profitable and efficient proposals.
  • Develop sales action plans to target corporate and MICE business and associations
  • Administration of all incentive and meetings business with close liaison with client, Rooms Division, F&B Operations and Sales Department.
  • Monitor group billing accounts for accuracy, and co-ordinate with Credit Manager, for delayed payments.
  • Be proficient in S&C Opera & Review Pro.
  • Maintain an update company/contact profiles, key information, sales activities, and event database, in order to extract necessary and accurate client information and accurate reports from Opera
  • Conduct briefing with PCOs and discuss potential business, communicating outcome to respective salesperson for further networking amongst Capella Hotel Group
  • Proactively source, identify, qualify and solicit new events and social gathering opportunities within Corporate Accounts of all segments, Embassies, Government Organizations, Associations, Schools & Universities, Event Planning companies, MICE and Incentive Planning companies, Corporate Meeting Planners to achieve personal revenue goals
  • Prospect new event opportunities through phone solicitation, on-site sales calls, sales blitzes, direct mail and online search
  • On regular basis, review banquet room allocations and expected delegate numbers and communicate to internal departments and contractors where applicable.
  • Develop & maintain knowledge of market trends, competition, clients and guests
  • Understand competitors' strengths and weaknesses and know how to sell against them
  • Responsible for site inspections for Events & MICE business with the focus being about execution of event and future business for the hotel.
  • Responsible to ensure that up to date files are kept to allow improvement of revenue forecasting and manpower planning.
  • Work closely with respective Restaurant Managers and Director of Operations to ensure all aspects of the event have been cost effective and serviced both clients and hotel needs.
  • Monitor all correspondence to ensure it meets with Hotel policy and procedures.
  • Review all daily food, beverage, and conference charges posted to relevant accounts during each meeting, event or incentive, to ensure that all charges are in line with run down and event orders.
  • Ensure all event inquiries are keyed in in Opera in a timely manner
  • Ensure correct figures are reflected in Opera actuals
  • Consult with Executive Chef to prepare menus, which will attract business and yield a satisfactory profit.
  • With Sales Department assist in the building and maintenance of relationships with clients such as PCO's and Corporate Meeting Planners.
  • Ensure deposits, contracts, and settlements are received as due.
  • Responsible for the preparation of the Strategic Business and Operating Plans, Event Team targets and Department plans.
  • Prepare Annual Event Budget
  • Prepare monthly and quarterly outlook / forecast reports.
  • Address any areas of opportunity in Benchmarking statistics.
  • Attend meetings as required.
  • Ensure a positive working relationship in the team and associated departments.
  • Proactively gain customers feedbacks for satisfaction improvements.
  • Review, implement and train for changes where necessary to improve.
  • Conduct weekly BEO meetings and daily briefings with all relevant departments to keep all colleagues informed.
  • Comply with all Corporate, Credit Policy and Hotel Standard and Procedures.
  • Uphold the Capella culture by demonstrating the Services Standards at all times to guests and fellow colleagues.
  • Undertake other duties as requested by Department Head and Hotel Management.
  • Conduct pre-event meeting with internal and external stakeholders to ensure that all requirements are clearly communicated and understood for brilliant execution of the event.
  • Through themes and activities develop opportunities for incremental revenue (or through other on-site venue's / departments) to increase the hotels profitability and give a competitive advantage.
  • Act as the advisor for Management with regard to the preparation, operation and evaluation of the functions or MICE operations and for "COMP SET" intelligence.
  • In charge and given the authority to do whatever is necessary to ensure that meetings and events satisfy the customers and add to the hotel's profitability.
  • Advise and consult with the Executive Chef, Restaurant Managers and Director of Operations to ensure a high quality of food, beverage and service are cost effective.
  • Provides concise information in a timely manner to delegate operational tasks to other operational departments as appropriate.
  • Interact with other departments in a friendly, positive and professional manner to foster good rapport, promote team spirit and ensure effective two-way communication across the service departments.
  • In conjunction with the Sales Manager who has referred the event, be visible and accessible to the customer by maintaining contact with the client throughout the event and by ensuring presence on the event day
  • Responsible for sales calls and attendance at trade shows in the MICE and "Social" market's segment as required.
  • Ensure the client is understood and their expectations are met, and that this information is communicated accurately to the operational hotel departments through BEOs, Group Resume's, Pre and Post Event Meetings
  • Actively support and promote Loyalty Programs (Capella Discovery Loyalty Program) and other tools where possible and appropriate for additional enrolments.
  • Actively cross sell to all Capella Hotel Group.
  • Prepare competitive analysis report.
  • Provide one-stop service, from initial proposal stage till the end of the event.
TALENT PROFILEQualification
  • A Bachelor's degree in Sales and Marketing Management or equivalent
Work Experience
  • Experiences in similar role at luxury hotels/resort
Technical Skills
  • Excellent selling skills and understanding of sales processes
  • Excellent command of written and spoken English
  • Strong analytical skills to develop and review reports (including Revenue Management) and determine other opportunities and ways to increase business levels.
  • Systems knowledge (PMS and S&C Opera) and software knowledge (Microsoft Office, etc.)
