The RoleWe are seeking an Admin Executive for our client's Vietnam office in Hanoi & Ho Chi Minh City. The successful candidate will provide support across office administration and operations, with responsibilities including but not limited to:Liaising with Legal, HR, Compliance, and Accounting teams to process vendor/supplier agreements, invoices, contracts, and other official documentsSupporting accounting functions: monthly payable account checks, payment requests and approvals in Workday, coordinating with the Accounting team on day-to-day matters, and assisting employees with expense claims and related issuesCoordinating recruitment logistics, including support for campus recruitment activities in the HCMC officeAssisting with employee benefit/welfare programs, office social engagements, training sessions, and company events-sometimes leading these initiatives as agreedCollaborating with the Vietnam operations and support team to enhance process cohesiveness and efficiencyMonitoring, controlling, and procuring office supplies, while ensuring timely maintenance of office equipmentManaging onboarding and offboarding tasksHandling visa and work permit processes, including applications, documentation, and compliance with regulationsProviding other office administration support as neededPerforming ad hoc tasks assigned by the General ManagerWhat You'll BringA bachelor's degree from a recognized university/collegeAround 3 years of relevant experience in a multinational organizationHigh proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)A positive, can-do attitude with strong attention to detail, organizational skills, and the ability to prioritize and meet deadlines in a fast-paced environmentStrong interpersonal and relationship-building skillsExcellent communication, collaboration, and customer-service mindset; fluent English is requiredAbility to multitask, work independently, and function effectively as part of a team with minimal supervisionProactive and self-motivated, eager to learn, and ready to take on additional responsibilities over time
