- Lead and manage a growing team responsible for managing the employee experience throughout the employee lifecycle (onboarding, career changes and offboarding); and
- Profile filling: review employee’s profiles and collect all missing documents (if any).
- Provide high quality support, ensure smooth & effective management of the Payroll function for local and expatriate employee members.
- Responsible for end-to end payroll process, include:
- Aggregating HR database which will impact the actual payout;
- Calculate any arising allowances and bonuses;
- Managing e-Leave/e-OT and keep reporting lines be updated for approval matrix;
- Liaising with payroll vendor and internal channels to prepare process and distribute monthly salaries/pay-slips, as well as processing any other payment documentation as required;
- Proceed the payment documents to employees on the appointed day;
- Liase with payroll vendor to register PIT Dependence for staffs;
- Liase with Tax Office and Finance on Personal Income Tax report monthly and annual finalization;
- Provide income confirmation documents to resigned staffs as required;
- Implementation of tax settlement for eligible employees yearly;
- Prepare SHUI report as well as perform the neccessary reconciliation and revision arising from the changes in salary for employees, new hires,...;
- Attend on the process of Social Insurance claim in case of sick leave or maternity leave; and
- Reconcile the payable amount of SHUI with SI Department.
- Monitor HRMS (HiBob) to ensure it runs effectively.
- Be in charge of HR Intranet (Confluence, HiBob, Slack…). Ensure current benefit policies, guideline and process are timely updated in e-HR Center fully;
- Liaise with other leaders to clean-up data, update org chart as well as provide missing data and prepare for Succession Plan.
- Understanding and implementing all policies in the Employee Handbook/Internal Regulations/Code of Conduct;
- Developing and implementing new practices, programs and policies to meet organizational and strategic business/management needs;
- Update HR Team to new regulations, articles and decrees relating to HR matters/Labor Code;
- Assisting Manager/HR Head to review and officially launched Internal Regulation, Disciplinary, Employee Handbook, etc.
- Maintain and develop consistent HR process documentation and ensure appropriate utilization;
- Oversight for maintaining documentation and producing artifacts for HR audits;
- Ensuring procedures are followed in a timely and efficient manner. This will involve liaising with the relevant HRBP team and hiring managers to ensure the smooth running of recruitment campaigns, issuing offers of employment and processing contracts and ensuring that eligibility to work information is checked;
- Responsible for employee’s due diligence check to ensure it complies with Group’s policy; and
- Provide counseling on internal policies & procedures.
- Insurance Management: responsible for consult & analyst for the new program in the beginning of the year; effectively update the new or changes of this program with staff; provide year-end analyst report; annual health check-up project management;
- Prepare monthly, bi-annually, annual reports for Government.
- Prepare and generate reports for HR monthly (eg. CEO report, Payroll report, Diversity reports);
- Prepare internal report for management purpose (cost center, payroll report, budget planning, employee cost accrual, others as per requirements from HRM or Financial Controller);
- Partner closely with HRBP team to ensure their client groups are receiving the support they need and process changes are effectively communicated;
- Work with relevant partners in managing staff’s benefits (laptop award, engagement program, etc.);
- Support Company’s staff engagement activities: Company Trip, Internal Competition,….
- Support expatriates’ visa/work permit to re-locate to Vietnam.
- Cross-team responsibilities may arise from time to time.
- Assist Head of HR on other tasks as required.
- Hand-on experience how to run and manage a similar end to end payroll service.
- Proven Payroll Management experience with extensive payroll reporting knowledge.
- Detailed knowledge of Vietnam Labor Code and relevant regulations.
- Quick adapt with modern system.
- Demonstrated high level organizational skills.
- Ability to work to tight deadlines and excellent time management skills.
- Ability to handle confidential information.
- Integrity & strong personal judgement.
